Data controller and contact
The controller for the PVSmile website, Contact requests and newsletter subscription records is the Institute of Communication and Computer Systems (ICCS / ΕΠΙΣΕΥ), through the EPU team. Contact info@pvsmile.eu for privacy questions or requests. Access to these records is restricted to authorised members of the EPU team.
Contact requests
The Contact form collects your name, email address, subject and message so that we can respond to your enquiry. We keep the submitted request and a delivery receipt, including its identifier, timestamps, delivery status and attempt history. Processing is based on our legitimate interest in handling enquiries about the project. Please do not include sensitive personal information in your message.
Requests, delivery receipts and the team's corresponding emails are retained until the manual closure of the project, when the EPU team deletes them, unless a specific legal obligation requires longer retention. Requests for earlier deletion are assessed individually. Deleting a website receipt does not automatically delete a copy in an email mailbox.
Newsletter
If you subscribe, we collect your email address and record the subscription request, consent version, receipt identifier, timestamps and delivery status. The subscription uses single opt-in: submitting the form expresses consent to receiving PVSmile newsletters and press releases. Receipt of a request is not a guarantee that a provider has delivered a message.
MailerLite manages the mailing list and sends project communications on our behalf. We do not sell subscriber information or share it for unrelated marketing. You can withdraw consent at any time using the unsubscribe link in a newsletter or by emailing info@pvsmile.eu. Active subscriptions remain until you unsubscribe or the project closes. Local subscription receipts are retained until manual project closure; withdrawal stops future communications without automatically erasing the minimal record of the request.
Website cookies and external services
Necessary cookies support security, administration and remembering your privacy choices. Optional services require a separate choice through the consent interface. You can reopen Cookie settings from the footer and change that choice.
Microsoft Clarity, when enabled in production, is optional analytics used to understand site navigation and improve usability. Its scripts are not loaded before analytics consent, on authenticated or administration pages, or on the Contact and newsletter forms. Form content is marked for masking. Withdrawal stops the integration on subsequent page loads.
YouTube videos remain blocked until you allow the YouTube service or choose to load a particular video. Loading a video connects your browser to YouTube/Google, whose processing is governed by their own policies. External links do not load those sites until you follow them.
Hosting, security logs and backups
IPHost processes technical connection information for hosting operation and security. The hosting package includes daily automatic backups retained on a rolling seven-day basis; the provider deletes the oldest backup as it leaves that window. Separately, the EPU team creates manual recovery backups and deletes its own copies at the end of the project. Deleting a live record does not immediately erase a provider backup; the copy expires within the provider's seven-day retention window.
Archived server access logs are currently retained without automatic deletion under the hosting account's selected settings. They may include IP addresses, timestamps, requested URLs and technical connection information. This is separate from the EPU team's project-closure deletion of its own submissions, mailboxes and manual backups. Log retention has not been changed by this website upgrade. Contact the EPU team for requests concerning these records.
Your rights
Subject to the applicable conditions, you can request access, correction, erasure, restriction, portability or object to processing based on legitimate interests. You can withdraw consent without affecting the lawfulness of prior processing. Contact info@pvsmile.eu. You can also complain to the Hellenic Data Protection Authority.
